Import Bibliographical Data
This dialog box is displayed when you import bibliographical data from a reference management tool such as EndNote or Zotero. The options on the dialog box allow you to control how the reference data is imported.

Options on this dialog
File encoding This option is only available when you are importing a .ris or .txt file and it displays the file encoding that will be used to interpret the file. NVivo can usually detect the correct file encoding—however, if you see strange characters in your reference information (after import into NVivo), you may need to try a different file encoding.
Name sources by This option indicates how internal and sources will be named when they are created during the bibliographical data import process. You can choose to derive source names from:

The title of the reference—for example, Rising seas in the Pacific.

The author and year of the reference—for example, Smith, Andrew (2010).
Assign sources to This option indicates how sources will be assigned a source classification during the bibliographical data import process. You can choose:

A single classification (Reference)—references of any type are assigned to the Reference classification. The reference type is recorded as an attribute on the source. Using a single classification allows you to work with all references in a single classification sheet and create queries that search all references by attribute values such as year or author.

Different classifications based on record type—for example, Journal Article or Book.
The remaining options on this dialog, allow you to make choices that determine how bibliographical references are imported into NVivo. The references are grouped under one or more sections as described below.
Already linked
This area only applies to bibliographical data being imported from EndNote and displays the number of references that were previously imported from the same EndNote library. You can choose whether or not you want to:

Replace the classification and attribute values of the sources with the data from the reference library.

Replace memo contents with abstract, keywords and notes.
WARNING If you have added your own notes to the memo directly in NVivo, your notes will be lost when the content is replaced.
For example, if you previously imported a reference from EndNote, but in the meantime have added more notes in EndNote, you can replace the content of the linked memo in NVivo. Alternatively, if you have made changes in NVivo to the attribute values of sources, you can choose not to replace the classification and attribute values.
The choices in this area apply to all of the Already linked references. If you want to treat some of the individual references differently, click the Advanced button and adjust the settings. Refer to Import Bibliographical Data - Advanced for more information.
To be linked
This area displays the number of references with titles that match the names of sources already existing in your project. This may include sources directly imported into your project, sources imported from Zotero, RefWorks, Mendeley or sources imported from a different EndNote Library. You can choose whether or not you want to:

Replace the classification and attribute values of the sources with the data from the reference library.

Replace memo contents with abstract, keywords and notes.
WARNING If you have added your own notes to the memo directly in NVivo, your notes will be lost when the content is replaced.
For example, if you previously imported a reference from RefWorks, but in the meantime have made changes in NVivo to the attribute values of sources, you can choose not to replace the classification and attribute values.
The choices in this area apply to all of the To be linked references. If you want to treat some of the individual references differently, click the Advanced button and adjust the settings. Refer to Import Bibliographical Data - Advanced for more information.
Import new
This area displays the number of references with titles that do not match the names of sources already existing in your project, and provides options for how the data is handled. For example, you can:

Choose not to add new references.

Select different folders to store the internals and externals that are created during the import process.

Choose not to create linked memos which store the abstract, keywords and notes from the references. If you do not choose to create a memo, the notes and research notes are not available in NVivo.
The choices in this area apply to all of the Import new references. If you want to treat some of the individual references differently, click the Advanced button and adjust the settings. Refer to Import Bibliographical Data - Advanced for more information.
Examples of importing bibliographical data
The following table illustrates how the references are counted as Already linked, To be linked or Import new during import.
